Graduation Tracking

To view/update Graduation Tracking for a student, navigate to Graduation Tracking via the Full Site:

Right-hand NavBar > Menu > Records & Enrollment > Graduation Tracking

Enter applicable Search Criteria to look up the student and click Search.

Select student from the search results, or if there is only one possible student from the search criteria, the Graduation Tracking page for that student will load automatically.

TIP! If there is a need to review Graduation Review Status for multiple students at once, the Graduation Tracking Search page can be helpful. Refer to the Graduation Tracking Search section of this resource for more details.

The Graduation Tracking page allows users to view several elements related to a student’s eligibility for graduation in one place. This includes detailed academic program-plan (CPP) information including Expected Graduation Term, as well as Graduation Review Status, academic statistics, enrollment, certain honors, and transfer/test credit.

Summary section

The top Summary section provides a high-level overview of student and user information, including icons to access Service Indicators, FERPA, Communications, Comments, and Checklists, as well as Academic Career, Academic Program, Expected Graduation Term, Degree, Student Career Nbr, Institution, Program Status, and UserID.

Graduation Tracking

The Graduation Tracking section of the page is where a student’s status within the graduation review process is identified and updated. Refer to the Graduation Review Status section of this resource for more information.

Academic Plan

The Academic Plan section displays all plans for the student’s career/student career number identified at the top of the page. If the student has more than one degree in the career/student career number, all plans appear under each degree type.

• Plan Seq: The Plan Sequence number from Student Program/Plan
• Acad Plan: The Academic Plan code
• Description: The Academic Plan description
• Acad Plan Type: The Academic Plan Type (i.e., Major, Minor)
• Acad Subplan: The Academic Subplan when one exists.
• Degree: The Degree that would be earned

Statistics

The Statistics section displays GPA and credit data up through the expected graduation term.

• The Cumulative Units tab displays a summary of the status of all units taken by the student in a term.
• The Cumulative GPA tab displays a summary of GPA statistics.
  • Note that Special GPA statistics, such as Academic Year or Institutional GPA will NOT display here.
• The Transfer Credit tab displays a summary of the Transfer, Test, and Other credit statistics for the student, when they exist.

Enrollment

The Enrollment section displays enrollments attached to the Academic Plan’s Career.

• Select the Limited View button to see those classes without a grade assignment, or with an ‘incomplete’ grade. Adding a Grad Note to a class here will cause the class to remain visible in this section for review should the class later be graded or dropped (after drop retain date).
• The Show All View Button displays all enrollments.

Graduation Notes

Add any desired Graduation Notes in this section, in accordance with any applicable school/college/department policies. Select the ‘+’ sign to add multiple rows.

Honors

[OPTIONAL] Note any department/major/degree-specific Honors earned in this section. This section is for internal tracking purposes only and will not be reflected on student diplomas.

ⓘ Schools/Colleges must separately send a list of Departmental/Major/Degree Honors recipients in advance of the official graduation date in order for those honors to be officially reflected on the degree. Latin Honors are also managed in a separate process by OUR.

Graduation Review Status is a the most important field on the Graduation Tracking page. This status needs to be updated by school/college staff in order to indicate to the Office of the University Registrar (OUR) that a student is at key stages in the graduation process. Certain statuses will trigger graduation-related processes, such as the Diploma Info task for students.

Some statuses are limited by security access (e.g., for SPH students with June graduation date), but the most commonly used statuses are described in the table below.

ⓘ The student’s Expected Graduation Term must be correct BEFORE the status is updated to “Official”. Any changes to a student’s Program-Plan stack (CPP), including Expected Grad Term, will reset the student’s Graduation Review Status. If Expected Grad Term needs to be updated, submit a request via the Program/Plan Change workflow.

To input or update Graduation Review Status for a student:

1. Navigate to the Graduation Tracking page for the student.
2. Under the Graduation Tracking section, select the appropriate status from the dropdown.
   
   1. If there is already a status applied, click the checkbox labeled Update Graduation Status. A New Graduation Status dropdown will appear; select the new status as applicable.



ⓘ NOTE:Keep in mind that the ability to modify Graduation Review Status is limited to users with appropriate security access. Additionally, certain program-specific statuses will not appear to certain users.

3. If needed, select an effective date for the Status. The current date will auto-populate.
4. Scroll down and click OK to save.

TIP! An audit trail of previous updates to Graduation Review Status can be reviewed by clicking ‘View Status History’ button in the Graduation Tracking section of the page.

Students can access the View Graduation page under the Academics folder on their MyBU Student menu. This page allows students to view expected graduation term and degree status for all programs they are associated with.

ⓘ NOTE: The Degree Status shown to students is NOT the Degree Tracking Status. Degree Tracking Status is not visible to students. In most cases, the Status column will appear blank until the official graduation has been processed by OUR; then it will display “Degree Awarded”.

The Graduation Tracking Search page is used to review a group of students with a particular graduation status. It operates similarly to the Graduation Report query (BU_R0046L_SR_GRADUATION), but with more flexible search prompts and the option to click through to a specific student’s Graduation Tracking directly from the results. However, the results can’t be exported like a query report.

Navigation (Full Site): Menu > Records & Enrollment > Graduation > Graduation Tracking Search

The fields on the page allow results to be narrowed to the desired population. In the example screenshot below, the prompts will display Undergraduate students in the CFA Theatre Costume Design program/plan with Expected Graduation Term of 2251 (Spring 2025) across all Graduation Review Statuses.

TIP! Searches can be saved for quick use in the future.

ⓘ NOTE: Upon clicking Search, it may be necessary to scroll down on the page to view the results.

Results will display in a tab labeled ‘Detail 1′ with students’ UID, name, Expected Grad Term, Graduation Review Status, and a click-through link to the student’s Graduation Tracking page.

• Click the ‘Detail 2’ tab or use the arrow button to view basic academic data for each student (Career, Degree, Academic Program and Academic Group).
• Click ‘View Student Details’ to open that student’s Graduation Tracking page in a new window.
