Recruitment Process

The flowchart below provides an overview of the recruitment process for both mentors and mentees.

 

Step 1: Interest Survey

The interest survey ranges from 12-14 questions and should take no longer than 20 minutes. It is divided into two parts. The first part serves as the application portion, to collect general information and assess access to technology. The second part will be used to match mentors with mentees. The time frame between the submission of the interest survey and the participant program start date may be up to four weeks.

Step 2: Mentor Position Awarded or Mentee Program Acceptance

Once the interest survey has been submitted, it will be evaluated by the Program Managers.

Within a week, accepted mentors will receive an email confirming that they have been awarded the mentor position. This email will also ask mentors to accept or reject the position. We ask that accepted mentors respond in a timely manner.

Within a week, accepted mentees will receive an email confirming that they have been accepted into the program. This email will also ask mentees to confirm or cancel program participation. We ask that accepted mentees respond in a timely manner.

 

Step 3: Mentor-Mentee Match

Once the confirmation email has been received by Program Managers, part 2 of the interest survey will be used to match mentors and mentees. After a match has been made, both mentors and mentees will receive an email with their assignments along with their program start date, which should be within a week. Depending on the amount of confirmations received, this email response may take up to two weeks after the position or program acceptance. Mentors will receive mentee(s)’ name and email contact information to begin mentorship through email or to schedule a video meeting.

 

Step 4: Zoom Meeting for Questions (Mentors Only)

In the mentor-mentee match email, mentors will also receive information about a Zoom meeting conducted by Program Managers scheduled for before their program start date. This meeting will be mandatory, yet accommodations will be offered for those in different time zones. Mentors will be asked to come prepared with any and all questions in order to make the most of their time.

 

Step 5: Program Begins

Each mentor-mentee pair or group will have an individual program start date. Their program end date will be nine weeks from that date (approximately two months later), unless this ends up being after the program term end date. All programs will end by the program term end date. Throughout the program, mentors will have the option to attend weekly Zoom meetings with Program Managers for any additional concerns that arise. If mentees have individual concerns, we ask that they contact us.
