Travel & Accomodation

We aim to make CUWiP accessible to everyone. All meals and accommodation for students during the conference are provided as needed and the costs are met by CUWiP.  If you have dietary requirements, please make sure to indicate those during the online registration process by December 16, 2022 so we can meet your needs. 

Travel and Transportation

Travel to the conference is usually paid for by your home department. In cases where your own department, or other sources, can not cover the cost, there are funds available to provide support to travel to CUWiP so no one has to miss out on CUWiP for financial reasons. In order to access those funds, please email cuwip2023-list@bu.edu to request travel support before December 16, 2022.  

Travel costs will typically be reimbursed after the conference. Students will have a chance to indicate travel needs during the online registration.  In addition, before you book a plane ticket, or any other travel ticket costing more than $100, you must first email the cost and itinerary to cuwip2023-list@bu.edu by December 16, 2022 to receive advance permission prior to incurring the cost. Significant costs which are not pre-approved may not be reimbursed.

Attendees local to Boston will commute to the conference daily.  We encourage the use of public transportation and will reimburse these travel costs as described above. A limited number of parking passes for BU campus parking lots during the conference weekend are available. Please contact cuwip2023-list@bu.edu by December 16, 2022 if you require a parking pass and specify the days of the conference the pass is required.

Lodging

Attendees from outside of commuting distance to Boston will stay at Hotel Commonwealth in Kenmore Square.  This hotel is within walking distance of the BU campus where the conference will be held. The Hotel can be reached via the Kenmore Stop on the subway Green Line.

Students will typically be asked to share a double room with another conference attendee.  Roommate requests, preferences and lodging requirements can be indicated during the online registration process.

Conference Location

All conference events will be held at various locations on BU’s campus.  Friday events will be held at Metcalf Science and Engineering center, 590 Commonwealth Ave. The Blanford St stop of the subway Green Line B is found directly across the street. All Saturday events will take place at the Metcalf Ballroom at 1 Silber Way in Boston, on the other side of the street from the Blanford St subway stop. Walking directions from the Hotel are here.

All Sunday events will take place at the BU Photonics Center (BUPC), 8 St. Marys St, Boston.  Walking directions from Hotel Commonwealth here. The BUPC can be reached via the Boston University Central stop on the Green B Line, which is 2 stops away from Blanford St and 3 stops from Kenmore where the hotel is located.

Getting to the Conference

From the airport:

The Boston subway system, known as the “T”, connects the airport and Boston University campus. Public transportation directions to the the Kenmore station, which is next to the Hotel and a 10 minute walk to the conference, is linked below:

If necessary, Uber and Lyft connections are also available from the airport.  Please contact cuwip2023-list@bu.edu prior to making your air travel plans and we will assist you in planning your trip.
