It includes steps for submitting, viewing, and managing Action Items. <\/p>\n<p style=\"border-top: 10px solid #669999; text-align: right; margin-block-end: 0px;\"><a href=\"https:\/\/sites.bu.edu\/sis-training\/mybu-student-glossary\/\" rel=\"noopener noreferrer\" title=\"Glossary\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2025\/06\/Glossary-icon.png\" alt=\"Glossary Icon - Click here for MyBU Student Glossary.\" width=\"55px\" height=\"55px\" \/><\/a><a href=\"https:\/\/mymedia.bu.edu\/media\/t\/1_1krf4w4z\/334960952\" target=\"_blank\" title=\"Training Recording\" rel=\"noopener noreferrer\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2025\/05\/Video-icon.png\" alt=\"Video Icon - Click here to view video resource.\" width=\"55px\" height=\"55px\" \/><\/a><\/p>\n<h4 style=\"margin-block-start: 0px;\">Introduction<\/h4>\n<p><strong>The Student Outreach &#038; Support Suite (SOS\u202fSuite)<\/strong>\u202fis\u202fa set of tools in\u202fMyBU\u202fStudent designed to strengthen communication around student wellbeing and academic success.\u202f\u202fAction Items are\u202fthe first tool within the\u202fSOS\u202fSuite.\u202f <\/p>\n<p>Action Items are spontaneous, faculty-initiated alerts issued throughout the semester to indicate when a student may need additional support in non-emergency situations.  <\/p>\n<p>When faculty observe a student in their class facing academic or personal challenges, they can submit an Action Item to notify the student\u2019s academic advisor. This allows for timely, individualized support and intervention for multiple types of concerns, including: <\/p>\n<ul>\n<li>Academic Concerns <\/li>\n<li>Personal or Wellbeing Concerns<\/li>\n<li>Other Concerns <\/li>\n<\/ul>\n<p>Faculty\u2019s submission of an Action Item triggers an email alert to the student\u2019s assigned academic advisor. The email will prompt an advisor to log into MyBU Student and review details of the Action Item so they can determine the appropriate outreach. <\/p>\n<ul>\n<li>Action Items can only be initiated by faculty to an advisor. At this time, advisors cannot initiate Action Items to faculty. <\/li>\n<\/ul>\n<link href=\"https:\/\/fonts.googleapis.com\/icon?family=Material+Icons\" rel=\"stylesheet\">\n<p class=\"alert\"><strong> \u24d8 Action Items are not confidential. Although Action Items are not visible to students in MyBU Student, they are part of the student\u2019s official record and thus the student could request access through the University Registrar. <\/strong><\/p>\n<p>This resource outlines faculty processes to follow in MyBU Student in order to create, view, and manage Action Items. <\/p>\n<p style=\"padding: 10px; margin: 20px 20px 20px 20px; line-height: 1.2; border: 1px solid black;\"> \u26a0\ufe0e Screen options and menus will vary by user; please note that displays may differ for you based on access that has been granted. All screens shown are for training purposes only.<\/p>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">CREATE ACTION ITEM<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>If a faculty member has a concern about a student in one of their classes, they should create an Action Item to be sent to the student\u2019s academic advisor. In this case, the Action Item Comment sent to all students\u2019 MyBU Student records will be the same, so avoid using student names.<\/p>\n<\/li>\n<li>Click the <strong>Action Items icon<\/strong> at the top right of the Class Roster window.<br \/>\n<a href=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-2.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-2-636x274.png\" alt=\"Select a student\u2019s name from the Class Roster and click the Action Items button at the top of the window to start the Action Item process.\" width=\"636\" height=\"274\" class=\"aligncenter size-medium wp-image-5934\" style=\"border:2px solid black\" srcset=\"https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-2-636x274.png 636w, https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-2-768x330.png 768w, https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-2.png 867w\" sizes=\"(max-width: 636px) 100vw, 636px\" \/><\/a>\n<\/li>\n<li>In the Create Action Item window, select the <strong>Type<\/strong> of Action Item from the dropdown list. <\/li>\n<li>Read the instructions for the kinds of details needed, then type a <strong>Comment<\/strong> to explain the concern for the advisor.\n<ol type=\"a\" style=\"margin-left:1rem;\">\n<li>For an Action Item created for multiple students, the same Comment will be sent to each student\u2019s Academic Advisor.<\/li>\n<\/ol>\n<\/li>\n<li>Click the <strong>Create<\/strong> button to send the Action Item to an advisor. De-select the student(s) if they should not be included in the next Action Item created. <\/strong><\/p>\n<p>From here, faculty can either repeat the above process to create further Action Items or exit Class Roster if finished. <\/p>\n<p>See <strong>View &#038; Manage Action Items<\/strong> below to learn how to check the progress of the Action Item.  <\/li>\n<\/ol>\n<h5>ERROR MESSAGES<\/h5>\n<p style=\"padding-bottom:0px; margin-bottom:0px;\">Unsuccessful Action Items submissions will display indicators in the two popups that appear after pressing the Create button in the Create Action Items window: <\/p>\n<ul>\n<li>A black alert icon in the Success indicator message. The message will indicate how many Action Item submissions failed. <\/li>\n<li>A red status bar next to the name(s) for students whose Action Item submissions failed, along with any known explanation for the failure. <\/li>\n<\/ul>\n<p><a href=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-8.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-8-636x302.png\" alt=\"Examples of error messages and symbols for Action Items that failed to be opened.\" width=\"636\" height=\"302\" class=\"aligncenter size-medium wp-image-5937\" style=\"border:2px solid black\" srcset=\"https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-8-636x302.png 636w, https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-8.png 716w\" sizes=\"(max-width: 636px) 100vw, 636px\" \/><\/a><\/p>\n<p>\u24d8 NOTE: If a student does not have an Academic Advisor, faculty will not be able to create an Action Item and an error message will be generated, as in the above example. In such cases, faculty should reach out to the Advising Office of the student\u2019s School\/College. <\/p>\n<p><\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">VIEW &amp; MANAGE ACTION ITEMS<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<h5>VIEW ACTION ITEMS<\/h5>\n<p>Faculty can review their submitted Action items by navigating to <strong>Advisor > Action Items<\/strong> in the MyBU Student Dashboard.  <\/p>\n<p>This opens the <strong>Action Items<\/strong> page, which displays the total number of Action Items created, a <strong>Filters<\/strong> button for narrowing results (explained below), and the following information\/functionality for each submitted Action Item: <\/p>\n<ul>\n<li>Student name and ID <\/li>\n<li>Action Item Type <\/li>\n<li>Department that received the Action Item <\/li>\n<li>Advisor assigned to the Action Item <\/li>\n<li>Action Item creator (the faculty member) <\/li>\n<li>Date Action Item was created <\/li>\n<li>Status tag (blue for Open, green for Closed) <\/li>\n<li><strong>Details<\/strong> button: displays complete Action Item record (see below). <\/li>\n<li><strong>Three dots<\/strong>: <strong>Close<\/strong> or <strong>Reassign<\/strong> the Action Item from this menu. This opens an Action Items Details page which displays: <\/p>\n<ul>\n<li>A status chip (blue for Open cases, green for Closed) <\/li>\n<li>Student\u2019s name and ID <\/li>\n<li>Creator\u2019s (faculty\u2019s) name\/ID and date Action Item was opened <\/li>\n<li>Name\/ID of Assigned advisor. <\/li>\n<li>Action Item Type <\/li>\n<li>Advisor\u2019s Department <\/li>\n<li><strong>Comment<\/strong> block: threaded history of all comments between faculty and advisor(s).\n<ul>\n<li>Faculty comments can be edited by clicking the <strong>pencil<\/strong> icon.<\/li>\n<li>Click <strong>Comment<\/strong> to add a new comment to the thread or respond to the advisor.<\/li>\n<\/ul>\n<\/li>\n<li>Class details (Term, Course, Description\/Title, Section\/Class Number). <\/li>\n<li><strong>Reassign<\/strong> and <strong>Close<\/strong> buttons (see below). <\/li>\n<\/ul>\n<p><a href=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-11.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-11-636x367.png\" alt=\"The Action Items Details window, with full information about the Action Item and options for faculty to add Comments, Reassign, or Close the Action Item.\" width=\"636\" height=\"367\" class=\"aligncenter size-medium wp-image-5940\" style=\"border:2px solid black\" srcset=\"https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-11-636x367.png 636w, https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-11-768x443.png 768w, https:\/\/sites.bu.edu\/sis-training\/files\/2026\/02\/Faculty-Action-Items-11.png 966w\" sizes=\"(max-width: 636px) 100vw, 636px\" \/><\/a><\/p>\n<h5>REASSIGN ACTION ITEMS<\/h5>\n<p>In rare cases (e.g., a student\u2019s assigned Academic Advisor is on leave), faculty may wish to Reassign an Action Item after it was created. Follow these steps to <strong>Reassign<\/strong> an Action Item to another advisor within the student\u2019s assigned Academic Advising Department. <\/p>\n<ol>\n<li>Click <strong>Reassign<\/strong>, in either the Action Items Details page or the three dots menu, to open a Reassign Action Item Window.\n<link href=\"https:\/\/fonts.googleapis.com\/icon?family=Material+Icons\" rel=\"stylesheet\">\n<p class=\"alert\" style=\"margin-top:1rem; margin-bottom:1rem;\"><span class=\"material-icons\">&#xe002;<\/span><strong> In a Reassign Action Item window, faculty may see an option to Reassign to a Department (e.g., the \u201cAdvising\u201d button option shown below). This opens the Close Action Item window. <\/li>\n<li>From the <strong>Outcome<\/strong> dropdown, select No Further Action Needed. <\/li>\n<li>Provide a <strong>Comment<\/strong> to explain the error. <\/li>\n<li>Press <strong>Submit<\/strong>. <\/li>\n<\/ol>\n<p><a href=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-15.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2026\/02\/Faculty-Action-Items-15-636x183.png\" alt=\"A complete Close Action Item window for an Action Item sent in error.
