{"id":5219,"date":"2025-12-09T09:20:47","date_gmt":"2025-12-09T14:20:47","guid":{"rendered":"https:\/\/sites.bu.edu\/sis-training\/?p=5219"},"modified":"2026-03-20T15:38:49","modified_gmt":"2026-03-20T19:38:49","slug":"grade-changes","status":"publish","type":"post","link":"https:\/\/sites.bu.edu\/sis-training\/grade-changes\/","title":{"rendered":"Grade Changes"},"content":{"rendered":"<p>This information explains the grade change process for faculty in MyBU Student. <\/p>\n<p style=\"border-top: 10px solid #669999; text-align: right; margin-block-end: 0px;\"><a href=\"https:\/\/sites.bu.edu\/sis-training\/mybu-student-glossary\/\" rel=\"noopener noreferrer\" title=\"Glossary\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2025\/06\/Glossary-icon.png\" alt=\"Glossary Icon - Click here for MyBU Student Glossary.\" width=\"55px\" height=\"55px\" \/><\/a><a \/a><\/p>\n<h4 style=\"margin-block-start: 0px;\">Introduction<\/h4>\n<p><strong>Instructors should adhere first and foremost to any grade change request procedures and\/or policies at the school\/college\/department for that class.<\/strong> In MyBU Stduent, the process for changing grades is determined by the status of the Grade Roster and the timing in the academic calendar. <\/p>\n<p><strong>Change Window<\/strong>: In general, faculty can change grades using the Grade Roster until the end of the following term (e.g., last day of Spring for a Fall class). <\/p>\n<p style=\"padding-bottom:0px; margin-bottom:0px;\"><strong>Grade Roster Statuses:<\/strong><\/p>\n<ol style=\"padding-top:0px; margin-left:1rem; margin-top:0px\"><small><\/p>\n<li><span style=\"color:#cc0000;\"><strong>NOT REVIEWED<\/strong><\/span> \u2013 Grades have not yet been submitted. Applies to any Grade Roster that has not yet been started or that has been partially completed and saved. <\/li>\n<li><span style=\"color:#FFA500;\"><strong>READY FOR REVIEW<\/strong><\/span> \u2013 Grades have been submitted and are awaiting review by an authorized approver. <\/li>\n<li><span style=\"color:#4CBB17;\"><strong>APPROVED<\/strong><\/span> \u2013 Grades are recorded and have been approved by an authorized approver. Approved grades are not yet visible to students. <\/li>\n<li><span style=\"color:#4CBB17;\"><strong>POSTED<\/strong><\/span> \u2013 Approved grades have been processed through the Office of the University Registrar (OUR) and are considered official. Posted grades can be viewed by the students in MyBU Student and are reflected on their official transcripts. <\/li>\n<p><\/small><\/ol>\n<td>\n<p style=\"padding-bottom:0px; margin-left:25px; margin-bottom:50px;\">\u24d8 <strong>Note<\/strong>: For additional information about the process for approving and posting Grade Rosters, refer to the <a href=\"https:\/\/sites.bu.edu\/sis-training\/grade-roster\/\" target=\"_blank\" rel=\"noopener\">Grade Roster resource<\/a>.<\/p>\n<p style=\"padding-bottom:0px; margin-bottom:25px;\"><strong>Before a Grade Roster is posted<\/strong>, grades can be EDITED in the Grade Roster. (See the Edit Grades section below for instructions.) <\/p>\n<p style=\"padding-bottom:0px; margin-bottom:25px;\"><strong>After a Grade Roster is posted<\/strong>, grade changes can be REQUESTED in the Grade Roster, provided it\u2019s within the change window. (See the Request Grade Changes section below for instructions.) <\/p>\n<p><strong>After the change window closes<\/strong> (i.e., after the end of the following term), a grade change request would need to be sent to the Office of the University Registrar. Please work with the appropriate department administrator to submit that request. <\/p>\n<p style=\"padding: 10px; margin: 20px 20px 20px 20px; line-height: 1.2; border: 1px solid black;\"> \u26a0\ufe0e Screen options and menus will vary by user; please note that displays may differ for you based on access that has been granted. All screens shown are for training purposes only.<\/p>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Edit Grades<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p><a name=\"edit-grades\" id=\"edit-grades\"><\/a>After grades have been submitted, the Grade Roster can still be edited if it\u2019s in <strong>Ready for Review<\/strong> or <strong>Approved<\/strong> status. <\/p>\n<p style=\"padding-bottom:0px; margin-bottom:0px;\">Keep in mind the following important caveats: <\/p>\n<ul>\n<li>Grade rosters in Approved status run through an automatic posting process. Towards the end of the semester, this process runs multiple times a day. So once a Grade Roster is approved, there may be only a short amount of time during which it can still be edited.<\/li>\n<li>Grade rosters in Approved status can be edited only by faculty who are set up as an authorized approver for the class\u2019s Grade Roster. <\/li>\n<\/ul>\n<p style=\"padding-bottom:0px; margin-bottom:0px;\"><strong>To edit grades: <\/strong><\/p>\n<ol>\n<li>Click the <strong>Edit\/Enter Grades<\/strong> button at the top of the Grade Roster page.<\/li>\n<p><a href=\"\/sis-training\/files\/2025\/12\/Grade-Changes-01A.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2025\/12\/Grade-Changes-01A-622x321.png\" alt=\"Example of grade roster in &#039;Ready for Review&#039; status, highlighting the &#039;Edit\/Enter Grades&#039; button\" width=\"623\" height=\"321\" class=\"aligncenter size-medium wp-image-5093\"\/><\/a><\/p>\n<li>A pop-up message will appear, explaining that this will change the grade roster\u2019s status to Not Reviewed. Click <strong>Continue<\/strong> to confirm.\n<p><a href=\"\/sis-training\/files\/2025\/12\/Grade-Changes-03.png\"><img loading=\"lazy\" src=\"\/sis-training\/files\/2025\/12\/Grade-Changes-03.png\" alt=\"&#039;Edit\/Enter Grades&#039; pop-up message.\" width=\"234\" height=\"132\" class=\"aligncenter size-full wp-image-5095\" style=\"border: 2px solid black;\" \/><\/a><\/li>\n<li>The Roster Grade fields can now be edited. If you are unable to see the ability to scroll down the roster in the Request Grade Change window, try clicking anywhere within the window itself (e.g., in the white space between columns on a given row) for the scroll bar to display.<\/p>\n<li>Once all necessary grade changes have been input, click <strong>Submit<\/strong> at the bottom of the page.<\/li>\n<li>A pop-up message will appear, confirming the results of the grade change request.
