Schools and Colleges staff can request specific changes to enrollment regarding:<\/p>\n<ul>\n<li>Add<\/li>\n<li>Drop<\/li>\n<li>Swap<\/li>\n<li>Audit<\/li>\n<li>Pass\/Fail<\/li>\n<\/ul>\n<p>Based on the career, the action, reason, and the date, the form will be routed for approval through the appropriate levels of the department and\/or OUR staff. This guide introduces the workflow and how staff can enter an enrollment change request and view its status.<\/p>\n<p>It is extremely important to select the <strong>correct action and reason<\/strong>. The combination of who submits the enrollment change and the Request Reason selected will determine the appropriate workflow approval steps. More details on the relationship between these elements can be viewed in the Actions, Reasons, &#038; Workflow Approval section.<\/p>\n<p style=\"padding: 10px; margin: 20px 20px 20px 20px; line-height: 1.2; border: 1px solid black;\"> \u26a0\ufe0e Screen options and menus will vary by user; please note that displays may differ for you based on access that has been granted. All screens shown are for training purposes only.<\/p>\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Enrollment Change Requests Navigation<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p style=\"margin-bottom:1rem;\">\u24d8 <strong>NOTE<\/strong>: It\u2019s important to have all the information related to the request before entering. Enter the student\u2019s BUID or click the magnifying glass to search additional criteria. <\/li>\n<li>If entering an ID, the student information will populate. Click on the icon to launch the Manage Service Indicator screen for more information.\u200b <\/p>\n<p style=\"margin-bottom:1rem;\">To view an existing request, skip to the \u2018View the Status of a Request\u2019 section. Otherwise, proceed with the following steps. <\/p>\n<\/li>\n<li>On the Request Form tab, in the <strong>Enrollment Action<\/strong> field, click the dropdown menu to select the specific action being requested: Add, Audit, Drop, Pass\/Fail, Swap. <\/li>\n<li>The <strong>Request Reason<\/strong> options available will be determined by the action that has been selected.\n<ol type=\"a\" style=\"margin-left:1rem;\">\n<li>The \u2018Add a Class\u2019, \u2018Drop a Class\u2019, and \u2018Swap a Class\u2019 actions allow for multiple reasons to be selected. Refer to the table in the next section to review all Actions &#038; Reasons. The combination of who submits the enrollment change and the Request Reason selected will determine the appropriate workflow approval steps. The general workflow steps are: <\/p>\n<ol>\n<li>Enrollment request submitted.\n<ol type=\"a\" style=\"margin-left:1rem;\">\n<li>If the submitter is also a department approver, the MyBU Student system will programmatically approve the change.<\/li>\n<li>If the submitter is not a department approver, the request will be sent to the associated department approver(s).<\/li>\n<\/ol>\n<\/li>\n<li>If the Request Reason only requires department consent, then the process is complete once they approve.\n<p>2a. If the Request Reason requires OUR review, then the enrollment change will be sent to OUR for approval.<\/li>\n<li>With OUR\u2019s approval, they will manually update the enrollment change. <\/li>\n<\/ol>\n<p>\u24d8 <strong>NOTE: DEPT APPROVERS<\/strong>: If you are submitting or approving an enrollment request, please review the student\u2019s record to ensure the appropriate action and reason has been identified. To request this change, submit through the Student Academic Record Change form (Manage Workflow > Student Academic Record Change).  <\/p>\n<p style=\"padding-bottom:0px; margin-bottom:0px;\">Additional information for Request Reasons: <\/p>\n<ul>\n<li><strong>Admin Action<\/strong>: to be used during the open registration period when other options are not appropriate. For example, select if staff register students instead of students registering themselves, or they have a technical problem and need help getting enrolled. <\/li>\n<li><strong>Department Consent<\/strong>: select when the class has \u2018department consent required\u2019 added as part of the add or drop consent process.\n<ul>\n<li>Student will get a message that says department consent is required when trying to enroll. <\/li>\n<\/ul>\n<\/li>\n<li><strong>Closed Class<\/strong>: select when a student is registering for a class that has reached capacity. Additionally, it can be used for classes with a reserve capacity associated and the student does not meet the requirement \u2013 selecting this reason submits the enrollment change for them to be added regardless.  <\/li>\n<li><strong>Late Add<\/strong>: select when a student is registering for a class past the add deadline.  <\/li>\n<li><strong>Late Drop<\/strong>: select when a student is dropping a class past the drop deadline.  <\/li>\n<li><strong>Unit Load<\/strong>: Select when enrolling the student in a class that will put them over their unit load. <\/li>\n<li><strong>Waitlist Ok<\/strong>: Select when to add a student to the class\u2019s waitlist.  <\/li>\n<\/ul>\n<p><\/div>\n<\/div>\n\n<div class=\"bu_collapsible_container \" aria-live=\"polite\" data-customize-animation=\"false\"><h4 class=\"bu_collapsible\" aria-expanded=\"false\"tabindex=\"0\" role=\"button\">Enter Enrollment Request<\/h4><div class=\"bu_collapsible_section\" style=\"display: none;\"><\/p>\n<p>All submitters should double check that the appropriate reason(s) has been selected.
