{"id":2075,"date":"2024-08-10T15:23:21","date_gmt":"2024-08-10T19:23:21","guid":{"rendered":"http:\/\/sites.bu.edu\/marcom-team\/?page_id=2075"},"modified":"2025-08-11T10:14:09","modified_gmt":"2025-08-11T14:14:09","slug":"10up-vendor-partner-access","status":"publish","type":"page","link":"https:\/\/sites.bu.edu\/marcom-team\/onboarding\/software-hardware\/10up-vendor-partner-access\/","title":{"rendered":"10Up &#038; Vendor Partner Access"},"content":{"rendered":"<p>Setting up access for a vendor partner is a simpler process than for a new ID team member.<\/p>\n<p>Here&#8217;s what you should do.<\/p>\n<ul>\n<li><strong>As soon as humanly possible, do the following:<\/strong>\n<ul>\n<li><strong>Request a new Guest Affiliate account<\/strong>. An example of an affiliate account request for ServiceNow is in RITM0018361. This gives you the BU email.\n<ul>\n<li><strong>Before you begin<\/strong>, you must have 4 <strong>mandatory<\/strong> pieces of information\n<ul>\n<li>Full Name<\/li>\n<li>Personal Email Address (this is usually their vendor partner email address)<\/li>\n<li>Date of Birth<\/li>\n<li>Have they EVER had any affiliation with BU before (did they apply, did they take a class, have they ever used Wi-Fi on campus, did they work here before, ever?). If YES, do they know their BUID?<\/li>\n<\/ul>\n<\/li>\n<li><strong>URL<\/strong>:\u00a0<a href=\"https:\/\/www.bu.edu\/help\/tech\/accounts\/\">https:\/\/www.bu.edu\/help\/tech\/accounts\/<\/a><\/li>\n<li><strong>Choose Guest<\/strong> &gt; Then select if you are establishing a NEW account, or if you need to extend\/change an account, select the &#8220;change&#8221; option<\/li>\n<li>Fill out the form, per the instructions below:\n<ul>\n<li><strong>Affiliation<\/strong> = Temp Help<\/li>\n<li><strong>Assignment begin and end dates<\/strong> = Per contract or SOW engagement<\/li>\n<li><strong>Sponsor<\/strong> = choose option that most applies (you will normally be the sponsor of this person &#8211; meaning you are certifying that this is a real human being we are allowing to work within our environment!)<\/li>\n<li><strong>How will they be paid<\/strong> = 1st option (by another institution)<\/li>\n<li><strong>Will they be in a lab?<\/strong>\u00a0= NO<\/li>\n<li><strong>Does affiliate have a BUID?<\/strong> (Chances are they do not)<\/li>\n<li><strong>Does person have affiliation with BU?<\/strong>\u00a0(Chances are they do not)<\/li>\n<li><strong>Enter personal details<\/strong>\u00a0 = Name, Email, DOB, and Telephone (if you have it)<\/li>\n<li><strong>Access<\/strong> = Build Your Own Computing Profile (most contractors will need the following set)\n<ul>\n<li>Google Apps (allows them to use our Google Drives\/Apps)<\/li>\n<li>Wireless (in the event any of us ever needs to be on campus, having this already preselected will save loads of headache)<\/li>\n<li>Exchange\/Office365 &gt; Why? Access to Calendaring purposes<\/li>\n<\/ul>\n<\/li>\n<li><strong>VPN<\/strong> = YES<\/li>\n<li><strong>Agreements<\/strong>: Mark your agreements<\/li>\n<\/ul>\n<\/li>\n<li>Hit submit!\n<ul>\n<li>This process will kick off an automated email to the vendor partner. This person must take the next step to create their own account.<\/li>\n<li>Once our partner has created their account, you will be notified via email &#8211; usually within 6 hours; and the automated account \/ affiliation setup process will begin<\/li>\n<li>Entire process takes less than 24 hours (faster if your partner is quick about it)<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li><strong>Ask for the vendor partner&#8217;s GitHub username (this is NOT their email!).<\/strong> Notify Ron Yeany that you&#8217;ll be using a seat, and add them to GitHub as part of the Web Partners team. If they don&#8217;t have a GitHub account yet, they will need to set up a personal account.\n<ul>\n<li>Send any related documentation to the project at this point.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Add the vendor partner to Slack<\/strong> as a single-channel guest, and make sure to add them to the project channel. <a href=\"https:\/\/slack.com\/help\/articles\/202518103-Multi-Channel-and-Single-Channel-Guests\">https:\/\/slack.com\/help\/articles\/202518103-Multi-Channel-and-Single-Channel-Guests <\/a><\/li>\n<\/ul>\n<\/li>\n<li><strong>Once you have a BU email:<\/strong>\n<ul>\n<li><strong>Add the vendor partner to the designated vendor partner sandbox as a super admin.<\/strong> If there is no sandbox for this vendor, create one using the instructions at <a href=\"https:\/\/developer.bu.edu\/webteam\/developer\/libraryframework\/wordpress\/workflows\/new-developer-sandbox\/initialize-sandbox-environment\/\">https:\/\/developer.bu.edu\/webteam\/developer\/libraryframework\/wordpress\/workflows\/new-developer-sandbox\/initialize-sandbox-environment\/<\/a> (requires deploy tool access).\n<ul>\n<li>At this point, send any related sandbox links to the project.<\/li>\n<\/ul>\n<\/li>\n<li><strong>Fill out the New Web Team Member form.<\/strong> <a href=\"http:\/\/developer.bu.edu\/webteam\/developer\/libraryframework\/wordpress\/workflows\/new-web-team-member\/\">http:\/\/developer.bu.edu\/webteam\/developer\/libraryframework\/wordpress\/workflows\/new-web-team-member\/<\/a><\/li>\n<li><strong>Open a ticket in ServiceNow and assign it directly to the Server Administration assignment group to request server access for the vendor partner.<\/strong> Use ticket number INC12974834 as a template for how to fill out the ticket and what wording to use. Don&#8217;t deviate from the wording in this ticket &#8211; <em>it is very important you use this exact terminology or it will slow down the process. <\/em>Have someone with full ServiceNow access and the ability to assign tickets do this part (Ashley and Steve).<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n","protected":false},"excerpt":{"rendered":"<p>Setting up access for a vendor partner is a simpler process than for a new ID team member.
