10Up & Vendor Partner Access
Setting up access for a vendor partner is a simpler process than for a new ID team member.
Here’s what you should do.
- As soon as humanly possible, do the following:
- Request a new Guest Affiliate account. An example of an affiliate account request for ServiceNow is in RITM0018361. This gives you the BU email.
- Before you begin, you must have 4 mandatory pieces of information
- Full Name
- Personal Email Address (this is usually their vendor partner email address)
- Date of Birth
- Have they EVER had any affiliation with BU before (did they apply, did they take a class, have they ever used Wi-Fi on campus, did they work here before, ever?). If YES, do they know their BUID?

- Choose Guest > Then select if you are establishing a NEW account, or if you need to extend/change an account, select the “change” option
- Fill out the form, per the instructions below:
- Affiliation = Temp Help
- Assignment begin and end dates = Per contract or SOW engagement
- Sponsor = choose option that most applies (you will normally be the sponsor of this person – meaning you are certifying that this is a real human being we are allowing to work within our environment!)
- How will they be paid = 1st option (by another institution)
- Will they be in a lab? = NO
- Does affiliate have a BUID? (Chances are they do not)
- Does person have affiliation with BU? (Chances are they do not)
- Enter personal details = Name, Email, DOB, and Telephone (if you have it)
- Access = Build Your Own Computing Profile (most contractors will need the following set)
- Google Apps (allows them to use our Google Drives/Apps)
- Wireless (in the event any of us ever needs to be on campus, having this already preselected will save loads of headache)
- Exchange/Office365 > Why? Access to Calendaring purposes
- VPN = YES
- Agreements: Mark your agreements
- Hit submit!
- This process will kick off an automated email to the vendor partner. This person must take the next step to create their own account.
- Once our partner has created their account, you will be notified via email – usually within 6 hours; and the automated account / affiliation setup process will begin
- Entire process takes less than 24 hours (faster if your partner is quick about it)
- Before you begin, you must have 4 mandatory pieces of information
- Ask for the vendor partner’s GitHub username (this is NOT their email!). Notify Ron Yeany that you’ll be using a seat, and add them to GitHub as part of the Web Partners team. If they don’t have a GitHub account yet, they will need to set up a personal account.
- Send any related documentation to the project at this point.
- Add the vendor partner to Slack as a single-channel guest, and make sure to add them to the project channel. https://slack.com/help/articles/202518103-Multi-Channel-and-Single-Channel-Guests
- Request a new Guest Affiliate account. An example of an affiliate account request for ServiceNow is in RITM0018361. This gives you the BU email.
- Once you have a BU email:
- Add the vendor partner to the designated vendor partner sandbox as a super admin. If there is no sandbox for this vendor, create one using the instructions at https://developer.bu.edu/webteam/developer/libraryframework/wordpress/workflows/new-developer-sandbox/initialize-sandbox-environment/ (requires deploy tool access).
- At this point, send any related sandbox links to the project.
- Fill out the New Web Team Member form. http://developer.bu.edu/webteam/developer/libraryframework/wordpress/workflows/new-web-team-member/
- Open a ticket in ServiceNow and assign it directly to the Server Administration assignment group to request server access for the vendor partner. Use ticket number INC12974834 as a template for how to fill out the ticket and what wording to use. Don’t deviate from the wording in this ticket – it is very important you use this exact terminology or it will slow down the process. Have someone with full ServiceNow access and the ability to assign tickets do this part (Ashley and Steve).
- Add the vendor partner to the designated vendor partner sandbox as a super admin.
