Timeline of Booking a Photographer

Events:

Client to provide full details minimum of 2 weeks prior to event. Details required:

  • Date
  • Start/end times for photographer
  • Exact location (address + room number, if applicable)
  • Onsite contact name and mobile number
  • Delivery deadline if needed less than 1 week following event

Parking pass required from client prior to event


Editorial:

Initial discussion/intake 1-1.5 months prior to goal photo shoot dates

1-1.5 months prior to photos/proofs needed – Creative kickoff
1 month prior to photos/proofs needed – Photo direction confirmed, estimate approved


Marketing Projects:

Larger projects (e.g., websites, photo libraries, etc.) require more lead time to develop

Initial discussion/intake 3-5 months prior to goal photo shoot dates, 5-7 months prior to final photos needed

  • At 3-5 months – Evaluate photo needs, develop suggested plan/schedule, develop and confirm budget
  • At 2 months – Confirm with client, subjects
  • At 1 month – Final scheduling, photographer confirmation; outreach for photography extras, if applicable
