Headshot Direct Booking
Headshots can be booked and paid for directly with our registered photographers. This model is meant for basic-level headshots with minimal postproduction. For marketing-quality headshots, please contact BU Photography.
PLEASE NOTE: All photographers and images are contracted to be used within Boston University or for personal use. Please notify the photographer if any images will be used for commercial use outside the University, as separate rates will apply.
Information that MUST be provided to the photographer at the time of booking includes:
Headshot Logistics
- Number of subjects.
- Type of headshot desired (full body or face only).
- Backdrop color for portraits.
- White is recommended. Other colors may incur additional fees and time if the photographer does not own the desired backdrop color.
- Date of photoshoot desired (two weeks’ advance notice is preferred).
- Time, including photographer arrival time and headshot start and end times.
- A maximum of 28 headshots will be taken in an 8-hour day.
- A space must be reserved with ample room for photographer to set up gear and subjects.
- The client should allow the photographer at least one hour for set-up in the reserved space.
- The client should allow no less than 15 minutes per subject. Some subjects take time to warm up on camera, and ample time leads to a higher-quality result.
- All subjects must be scheduled consecutively. Extensive gaps in the schedule will result in higher fees.
- For longer events, the client should allow for photographer food and restroom breaks.
- Location and address, including room number if applicable.
- Parking arrangements are required, as photographers will bring equipment.
- Dress requirements for the photoshoot.
- On-site contact person and mobile telephone number.
Rates and Payment
- Rate ($300 set-up and first headshot; $85 each following headshot; $300 minimum; 28 headshots for a full-day shoot). Rate must be confirmed at time of booking.
- Clients are responsible for keeping track of subject names.
- The photographer will provide approximately 2–3 high-resolution images per subject.
- Some photographers may prefer to deliver low-resolution images of each subject for review and selection of 2–3 for final processing and high-resolution delivery. In this case, the client is responsible for coordinating image selection with the photography subjects.
- Additional fees may apply for an additional number of headshots or images requested beyond the agreed-upon amount.
- Payment must be handled directly between the client and the photographer. The photographers referenced below are registered with Boston University (see bottom of this page). Clients should upload the photographer’s invoice to SAP.
- Payment must be made to the photographer within 30 days of receipt of invoice.
Usage
- Usage of images is restricted to within Boston University. If the client or a subject would like to use images outside of the University, they should communicate with the photographer and negotiate additional licensing. Additional fees may apply.
Art Direction for Photographer
- Type of photographs needed, such as candids or formal portraits.
- Lighting requirements and restrictions. Please inform the photographer of space constraints.
- The intended purpose for images, such as web or print publication.
Image Delivery
- Deadline for delivery of photos. One week post-shoot is preferred—rush delivery may be accommodated, but this accommodation must be addressed at the time of the booking.
- Method of photo delivery (digital download is preferred).
- For all direct bookings, the client is responsible for archiving images following delivery.
